Ideas for an optimised workflow

I am a dentist and a small business owner from Germany. As a measure of insuring the quality of the work of my assistants we created checklists as in hotels, McDonalds and so on where every worker signs with their initials for the activity that they did. These checklists are on paper and they give them to me for analysis on a monthly basis. I am searching for a tool which would help me with the analysis of the productivity of the workers. I tried several OCR tools and the second engine from Free OCR managed to extract the most data from the scanned PDFs which then I upload to ChatGPT and ChatGPT does the rest. I can only upload PDFs with a size of 5 MBs which means that I need to “cut” the pdfs in to 5 MB pieces. Are there options for uploading more than 5 MBs? Is there a more direct analysis tool that I can use instead of Chat GPT in my workflow?

I would be careful with ChatGTP as it is an amazing tool helping with a lot of things it will also store all the data in insert internally to improve the algorithm for other users.

If you have any sensitive data to be analyzed, I would strongly recommend not to user chatGTP.

@noahhath Thank you for your reply and for expressing these important concerns. As I am a beginner in this topic I do not know which other AIs can I use. Could you suggest some alternatives?

Yes! Our PRO PDF plan allows for PDFs of up to 100 MB in size.

Data storage for AI Chatbots is an interesting topic:

@noahhath is right, ChatGPT seems to store the data forever, unless you have an Enterprise or Edu plan.

  • Claude AI says they store data for up to two years.

  • Gemini Google stores your Gemini chats for up to 18 months by default. You can change this to 3 or 36 months in your Gemini Apps Activity setting.

  • Mistral stores data for only 30 days. Plus, all its servers and the company itself are located in Europe. So it is bound by the GDPR rules. Since you are from Germany, that AI would be my first choice for processing sensitive data.
